Executive Administrative Assistant
Job Description
Position Summary:
The Senior Executive Assistant provides high-level support to the CEO, Board of Commissioners, and senior leadership. This role manages complex scheduling, communication, travel logistics, meeting coordination, and confidential correspondence. The position also supports HR functions, internal communications, and special projects with organization-wide impact.
Key Responsibilities:

Manage CEO’s calendar, travel, communications, and special projects

Act as liaison and representative of the CEO internally and externally

Prepare meeting materials, transcribe minutes, and ensure timely follow-ups

Support Board and leadership logistics, agendas, and compliance tracking

Coordinate HR tasks including recruitment, onboarding, training, and payroll data

Assist with office administration (supplies, name tags, incentive programs)

Draft internal and external communications and manage organizational info requests

Collaborate with the Strategic Initiatives team on outreach and donor relations
Qualifications:
-
Bachelor’s degree and at least 2 years of administrative or project coordination experience
-
Strong communication, organizational, and problem-solving skills
-
High level of discretion, professionalism, and attention to detail
-
Proficiency in Microsoft Office, Adobe, Zoom, Paychex, HR systems, and office equipment

Knowledge of accounting principles and HR processes (preferred)

Ability to type 55 WPM and work effectively both independently and in teams

Experience in a fast-paced, high-stakes environment with diverse stakeholders
