Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant with accounting experience to support our law firm’s operations. This position will handle a variety of administrative and clerical tasks, including legal document management, scheduling, and client communication, while also assisting with basic accounting duties. The ideal candidate will have a strong background in office administration, familiarity with accounting principles, and experience in a legal or professional services environment.

 

Key Responsibilities:

  1. Administrative Support:

    • Manage the day-to-day operations of the office, including answering phones, greeting clients, and handling mail.

    • Maintain an organized filing system for legal and financial documents.

    • Schedule and coordinate meetings, appointments, and travel arrangements for attorneys and staff.

    • Draft, proofread, and edit legal correspondence, memos, and other documents as required.

    • Ensure compliance with firm policies and procedures regarding confidentiality and document handling.

  2. Client Relations:

    • Serve as a point of contact for clients, managing communications and follow-ups.

    • Assist in intake and onboarding of new clients, ensuring all necessary documentation is completed and filed.

    • Maintain a positive and professional relationship with clients and vendors.

  3. Accounting Support:

    • Assist with the preparation of invoices, expense reports, and financial statements.

    • Handle accounts payable and receivable, including tracking client payments and follow-ups.

    • Assist in monthly reconciliation of accounts, prepare deposits, and maintain accurate financial records.

    • Prepare reports and summaries of financial data as needed.

  4. Office Operations and Supplies:

    • Manage office inventory and order supplies as needed.

    • Coordinate with vendors for office maintenance and repairs.

    • Maintain an organized work environment, ensuring that all office areas are clean, orderly, and stocked.

 

Qualifications:

  • Proven experience as an Administrative Assistant, preferably within a law firm or professional services environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal or accounting software (e.g., QuickBooks, r similar).

  • Strong understanding of basic accounting principles and bookkeeping.

  • Excellent written and verbal communication skills.

  • Strong attention to detail and organizational skills.

  • Ability to handle sensitive information with confidentiality and professionalism.

  • A proactive approach to problem-solving with strong decision-making skills.

 

Education and Experience:

  • Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field preferred.

  • 2+ years of experience in administrative roles with accounting responsibilities.
