Legal Admin Assistant

Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant with accounting experience to support our law firm’s operations. This position will handle a variety of administrative and clerical tasks, including legal document management, scheduling, and client communication, while also assisting with basic accounting duties. The ideal candidate will have a strong background in office administration, familiarity with accounting principles, and experience in a legal or professional services environment.

Key Responsibilities:

Administrative Support:
-
Manage the day-to-day operations of the office, including answering phones, greeting clients, and handling mail.

Maintain an organized filing system for legal and financial documents.

Schedule and coordinate meetings, appointments, and travel arrangements for attorneys and staff.

Draft, proofread, and edit legal correspondence, memos, and other documents as required.

Ensure compliance with firm policies and procedures regarding confidentiality and document handling.

Client Relations:

Serve as a point of contact for clients, managing communications and follow-ups.

Assist in intake and onboarding of new clients, ensuring all necessary documentation is completed and filed.

Maintain a positive and professional relationship with clients and vendors.

Accounting Support:

Assist with the preparation of invoices, expense reports, and financial statements.

Handle accounts payable and receivable, including tracking client payments and follow-ups.

Assist in monthly reconciliation of accounts, prepare deposits, and maintain accurate financial records.

Prepare reports and summaries of financial data as needed.

Office Operations and Supplies:

Manage office inventory and order supplies as needed.

Coordinate with vendors for office maintenance and repairs.

Maintain an organized work environment, ensuring that all office areas are clean, orderly, and stocked.

Qualifications:
-
Proven experience as an Administrative Assistant, preferably within a law firm or professional services environment.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal or accounting software (e.g., QuickBooks, r similar).

Strong understanding of basic accounting principles and bookkeeping.

Excellent written and verbal communication skills.

Strong attention to detail and organizational skills.

Ability to handle sensitive information with confidentiality and professionalism.

A proactive approach to problem-solving with strong decision-making skills.

Education and Experience:
-
Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field preferred.

2+ years of experience in administrative roles with accounting responsibilities.
