Administrative Assistant
Job Description
Location: Ocala, FL
Shift: Monday - Friday 8am -5pm
Starting Pay: $20/HR DOE
We are seeking a detail-oriented and organized Order Entry Administrator to join our team. This role is essential in ensuring accurate and efficient processing of customer orders, maintaining data integrity, and supporting overall administrative functions. The ideal candidate will possess strong computer skills, experience with databases and ERP systems, and excellent organizational abilities to manage order data effectively.
Duties

Enter customer orders accurately into databases and ERP systems using proficient typing and data entry skills

Invoice shipped orders accurately in ERP system using proficient typing skills.

Verify order details for completeness and correctness, ensuring adherence to company standards

Maintain and update records through filing, data collection, and management of electronic files

Utilize Microsoft Excel, including pivot tables, to organize and analyze order data for reporting purposes

Collaborate with other departments to resolve discrepancies or issues related to order processing

Assist with transcription tasks and support administrative functions as needed

Ensure timely processing of orders while maintaining high levels of accuracy and attention to detail

Support clerical tasks such as organizing files, managing paperwork, and performing basic office duties
Requirements

Proven experience in office administration or clerical roles, preferably with order entry responsibilities

Strong computer skills with proficiency in Microsoft Office Suite, especially Excel and data management tools

Experience working with databases and ERP systems for order processing and data management

Excellent typing speed and accuracy for efficient data entry and transcription tasks

Knowledge of basic math for verifying quantities, prices, and calculations within orders

Strong organizational skills with the ability to manage multiple tasks simultaneously

Attention to detail to ensure error-free data entry and record keeping

Prior experience with filing systems, data collection, and administrative procedures is preferred

Ability to work independently with minimal supervision while maintaining a high level of accuracy
